Tour cancellation policy questions do not always mean the guest wants to cancel. They may be checking a deadline, considering a change or asking what would happen if travel plans are disrupted. An assistant should clarify the question before turning it into an action request.

The useful workflow explains the approved policy where applicable and passes individual decisions to the responsible team. It should not cancel a booking, grant an exception or promise a refund unless an authorized, implemented process has actually completed that action.

Identify the source of the terms

A tour may be sold directly or through another channel, with different booking references and terms. Ask which booking or channel the guest means when that information is necessary. Do not assume that the operator's current website policy is identical to the terms attached to an older booking.

Use an approved policy source with an owner and review date. If the assistant cannot verify the applicable terms, it should explain that staff need to check the booking rather than confidently applying a generic deadline.

If the guest then explicitly asks to cancel, the workflow changes to a request for action. The assistant should still describe the actual supported process and avoid saying the cancellation is complete before staff or a verified system confirms it.

Be careful with time and weather questions

A cancellation cutoff may depend on a local date and time. The operator should define how staff interpret the policy and handle uncertain timing. The assistant should not perform a confident calculation from ambiguous phrases such as “the night before.”

Weather-related questions can involve a different process from a guest's voluntary cancellation. Do not announce that an activity is cancelled because a forecast sounds unfavourable. Use current operator instructions or ask staff to confirm the operational decision.

Design a handoff that preserves deadlines
