Dental new-patient enquiries need a different workflow from calls by people already known to the practice. A prospective patient may want to know whether the practice is accepting enquiries, what the first administrative step is, or how to speak with someone about appointment options.
An assistant can collect a request for staff without creating a patient record or confirming a visit. Those distinctions should be explicit. “We have received your enquiry” is not the same as “you are registered” or “your appointment is booked.”
Start with the practice's current intake policy
The practice should approve what the assistant may say about new enquiries, location, opening hours and the process for arranging a first visit. If availability changes, identify who updates that information and how quickly outdated wording is removed.
Do not infer capacity from an empty-looking calendar or a public service description. Different appointment types may require different staff decisions. The NHS guidance on finding a dentist is one jurisdiction-specific example of why patients should check arrangements directly with practices.

Collect the minimum useful enquiry
A proposed first-stage record could contain the caller's name, preferred contact method, chosen location and the administrative question they want answered. Add other fields only when the practice has a clear purpose and an approved process for collecting them.
Do not ask for a full medical history merely to request a callback. If the caller begins describing symptoms or treatment concerns, follow the practice's approved clinical handoff rather than turning the intake into an unsupervised assessment.

A hypothetical first enquiry
A caller has recently moved and asks whether the practice accepts new patients. They prefer the branch near their workplace and can usually answer calls during lunch. The assistant is authorized to explain the published enquiry process and collect a callback request.
The note should preserve the preferred branch, the request to discuss becoming a patient, and the callback preference. It should not assign a patient number, imply that eligibility has been checked, or announce a booked first examination.
If the caller asks for a particular clinician, record the preference without promising that clinician's availability. Staff can then discuss the actual options using the practice's current information.
Do not confuse API capability with workflow readiness
Open Dental's patient API documents patient operations at the vendor level. That does not establish that a separate application implements every operation or that a practice has accepted it for use.
Burki's documented Open Dental scope does not include native new-patient creation. A new-patient enquiry therefore needs an explicitly designed staff handoff rather than being marketed as automatic registration. Verify current integration scope and practice permissions before making any account-specific claim.
Even a manual handoff needs a failure path. If the request cannot be delivered to the approved destination, the caller should receive a truthful explanation and a published alternative contact route.
Make the response owner visible
Assign responsibility for new enquiries and cover for staff absence. Record when someone has responded so that a second team does not duplicate the contact or overlook an unanswered request.
