Match Voice Callers to HubSpot Contacts by Exact Email
Handle spoken email addresses, no-match results and shared inboxes when matching a voice caller to the right HubSpot contact record.

HubSpot contact matching by email sounds simple until someone says “Alex at the old company address” or corrects one letter halfway through the call. The assistant must identify the exact address the caller intends before it can use the lookup result responsibly.
Treat matching as a separate step from updating. A plausible contact is not necessarily the right person, and knowing an email address does not establish authority to hear private account information.
Capture the address in meaningful parts
Ask the caller for the full email address. If a portion is unclear, repeat only that portion rather than restarting the entire intake. “Was the name before the at sign Alex or Alec?” is more useful than asking the caller to repeat everything louder.
Read back the whole address once the uncertain part is resolved. Make punctuation audible where needed. Do not silently remove a plus sign, replace a domain with a familiar one or assume that two similar company domains are interchangeable.
HubSpot's contact documentation supports retrieving an individual contact by email. Burki's native workflow uses exact-email lookup; a fuzzy guess should not become a confirmed identity.
Use three outcomes, not two
Your operating procedure needs matched, not found and unresolved. A search that fails or returns ambiguity is unresolved. It is not evidence that the person is a new contact.
For a clean match, continue only with actions appropriate to that caller and conversation. For not found, explain that the business can save the confirmed details if that is permitted. For unresolved, preserve the request for staff review without choosing a record based on a similar name.

A hypothetical correction that changes the record
Suppose a caller says [email protected], then adds, “Actually, use [email protected]; the first one is personal.” The assistant should acknowledge the replacement and confirm the complete work address before the lookup or any later write.
If the first lookup already happened, do not reuse its contact result after changing the email. The selected address and matched record must remain connected. Otherwise, a perfectly accurate note can be attached to the wrong person.
A clear response is: “I'll use [email protected] for this request. Is that the address you want me to look up?” This is an illustrative interaction, not a promise that every voice mode handles every correction identically. Test the configured assistant with this exact pattern.
Shared addresses need a business rule
An address such as [email protected] may be shared by several people. Exact matching can locate a record without telling you which individual is speaking. Decide whether shared addresses are acceptable for routine enquiries and when staff must take over.
Do not disclose stored private details merely to help the caller guess the correct address. Asking “Is your other email this one?” can reveal information about another contact. Let the caller supply the identifying detail, then follow the business's verification procedure for any sensitive request.
Similarly, a staff member calling on behalf of a customer should not automatically replace the customer's email with their own. Establish who the record represents and where the follow-up should go.
Check the result before expanding the workflow
A useful matching review includes an existing exact address, a new address, a corrected local part, a corrected domain and a shared inbox. Use clearly marked test records and authorized callers. Inspect which contact was selected and whether an unnecessary new record was created.
Do not measure success only by whether the assistant eventually says “found it.” The useful evidence is the intended contact, the confirmed address and the absence of unrelated changes. An unresolved result can be the correct outcome when identity is uncertain.
