Restaurant Allergy Questions: Design a Reliable Human Handoff
Route restaurant allergy questions to authorized staff, preserve the guest’s exact question, and avoid unsupported ingredient or safety assurances.

Restaurant allergy questions need accurate, current information and a clear route to the people responsible for food preparation and service. An assistant should not infer that a dish is suitable from its name, a short menu description or a list of ingredients that may be incomplete.
The useful automation is often a reliable human handoff. Preserve the guest's question, identify the restaurant and dish where relevant, and make clear that suitability has not been confirmed by the assistant. Do not turn “I will ask the team” into a reassurance that the meal is safe.
Agree the restaurant's information boundary
The restaurant should decide who is authorized to answer allergy enquiries and which approved information, if any, the assistant may repeat. Recipes, substitutions and preparation arrangements can change. The workflow needs an owner for updates and a way to withdraw outdated information.
The UK Food Standards Agency's best-practice summary addresses allergen information for non-prepacked food. It is a jurisdiction-specific source, not a universal certification for a restaurant or software product. Local obligations and the restaurant's procedures still apply.
Do not present an assistant as a clinician or ask it to judge the severity of a person's allergy. The restaurant's approved operational process should determine the handoff, and immediate medical emergencies require the appropriate emergency response rather than a routine restaurant callback.
Preserve the exact question
Ask which dish or menu item the guest means when necessary. Retain the allergen or concern as the guest states it, with a readback for clarity. Do not substitute a broader or narrower category because it seems similar.
A useful handover distinguishes a general enquiry from an order already placed or an upcoming visit. It should include the relevant location and timing so staff understand what they need to review.
Avoid collecting unrelated medical details. The goal is to help authorized restaurant staff answer the food-related question, not to create a health profile in a general customer note.
A hypothetical menu enquiry
A guest asks whether a sauce contains a particular ingredient and whether the restaurant can prepare the dish separately. The assistant's menu source lists the dish name but does not include a verified preparation procedure.
The assistant should not infer the answer from a typical recipe. It can record both parts of the question and seek the approved staff handoff. The note should explicitly state that ingredient and preparation suitability remain unconfirmed.
If the staff destination does not answer, the assistant should explain that it has not obtained confirmation and provide the restaurant's approved alternative. It must not fill the gap with “it should be fine” or treat the absence of an ingredient in a short description as proof of absence.
Keep order and reservation actions separate
An allergy enquiry does not authorize an order change, cancellation or substitution by itself. If the guest requests an action, follow the supported process and report only its confirmed outcome.
Similarly, do not describe a restaurant's ability to answer menu questions as evidence of end-to-end ordering or kitchen acceptance. Each workflow requires its own verified scope and operational ownership.
The human-versus-AI responsibilities guide is useful background for assigning judgment. Here, the boundary should be especially visible because the guest may rely on the answer when deciding what to eat.
Test the unanswered-handoff case
A call-routing review should include an unfamiliar ingredient, a changed menu, an unanswered staff route and a caller asking for a guarantee. Review both the saved note and the exact statement heard by the guest.
The acceptance question is whether the assistant preserved uncertainty and reached the approved process, not whether it sounded confident. Your next step is to have the restaurant's responsible food-service lead approve one complete allergy-enquiry handoff, including what happens when confirmation cannot be obtained during the call.
