Tour pickup logistics FAQs need more precision than a general description of the activity. Guests may be unfamiliar with the area, travelling across time zones or reading an old confirmation. A confident but outdated instruction can send them to the wrong place.

An answering assistant should use current operator-approved information and distinguish a public meeting point from an individual pickup arrangement. It should not assume that a hotel stay includes collection or that a requested pickup has been accepted.

Identify the activity and date first

A tour operator may offer several departures with similar names. Ask which activity and date the guest means before giving timing or location instructions. For an existing booking, use the operator's approved reference and identity process.

Do not disclose another guest's details while trying to locate a booking. If the assistant has no booking-system access, explain that it can provide approved general information and pass an individual arrangement question to staff.

The right next step is to clarify the hotel and activity, explain the approved policy, and ask staff to confirm the individual arrangement. It should not say that the hotel is on the pickup list merely because it is nearby or because other guests have been collected there.

The handover should include the exact question: pickup eligibility, requested collection point, departure date and a reliable response method. It should state that pickup has not been confirmed. This gives staff a decision to make instead of a vague “guest needs help” note.

Handle late-arrival questions carefully

The operator should approve what the assistant says when a guest is delayed or cannot find the meeting point. Avoid promising that a group will wait, that a driver will change route or that a refund will be issued without authorization.

If a live staff route is supported, distinguish an attempted handoff from an answered conversation. If nobody responds, provide the approved alternative and retain the unresolved question for review.
