Before you connect
- A Burki workspace administrator account and permission to authorize the intended Square merchant. One Square merchant connection cannot be shared across multiple Burki workspaces.
- An active location with a usable catalog and currency. Menu and quote availability depends on supported catalog options.
- For Sandbox, launch the Square Sandbox seller dashboard in the same browser before connecting. Sandbox catalog, credentials, orders and payments are separate from production.
Review Burki usage pricing and your provider’s plan before a live test. Telephone calls, phone numbers and optional SMS can add charges; this guide does not promise a free provider plan.
Access and permissions
Baseline connection requests merchant profile and catalog read access for locations, menu search and quotes. A quote alone does not place an order or take payment.
Optional pickup requests additional orders read/write, payments read/write and inventory read access. Approving access alone does not enable checkout: workspace settings and each assistant’s actions must also be selected.
Pickup payment happens on Square’s hosted page. Callers should not give card details to the assistant. Sending a link by SMS needs the caller’s explicit consent, uses their existing call number and incurs normal SMS charges.
Connect and configure
Connect the merchant
Open Square in Burki Integrations. Check whether the deployment says Sandbox or production, then choose Connect Square and review the merchant account and permissions.
Test and select a location
Choose Test connection, select the intended workspace location and save it. Confirm the location name, time zone and currency. The selected location is shared by assistants using Square.
Enable menu actions
In a saved assistant’s Actions tab, select Square menu search and order quoting as needed. Practice first; quotes do not send kitchen tickets or confirm a restaurant order.
Optionally authorize pickup
If pickup is available, choose Authorize Sandbox pickup access or Authorize pickup access and review the expanded consent. Return to Burki, explicitly allow workspace pickup, choose a preparation time and maximum total in the displayed currency, and acknowledge that the location’s Square business hours suit pickup.
Choose pickup actions separately
Select the assistant’s pickup quote, checkout creation, status and link-sending actions individually. Existing menu-only assistants do not gain these permissions automatically. Require confirmation of items, total and pickup time before creating checkout; ask for SMS consent separately. Save and publish when ready.
Test the workflow
Browser practice simulates menu, quote, pickup and text results without creating a Square order, payment link or SMS.
Use Square Sandbox with test data for a controlled checkout test. A completed Sandbox payment does not prove production payment, telephone execution, message delivery or restaurant acceptance.
In Recent pickup checkouts, read payment and restaurant fulfillment separately. Payment received is not restaurant acceptance. Check latest status can finish a previously confirmed request or request cancellation of an overdue unpaid checkout. Verify the result in Square.
Troubleshooting
- Sandbox authorization does not open correctly
- Launch the intended Sandbox seller dashboard first and retry in the same browser. Confirm the correct Sandbox merchant is signed in.
- Pickup actions show setup needed
- Check expanded authorization, location, deployment availability, workspace pickup settings and business-hours acknowledgement. Missing or invalid hours block new checkouts. Never assume granting Square access enabled the actions.
- Checkout creation or cancellation is unconfirmed
- Check the existing checkout’s latest status and inspect Square before making another order. Do not create a replacement merely because the response was uncertain. An unpaid link may remain payable until cancellation is confirmed.
- Payment received but the restaurant has not accepted
- Manage restaurant fulfillment in Square. A paid checkout is not automatically accepted or sent to the kitchen by Burki. Manage paid orders and refunds in Square.
- Location change or disconnect is blocked
- Resolve open or uncertain checkouts first. Do not switch merchant accounts to bypass the cleanup requirement. An existing pickup connection may require the expanded grant when reconnecting so cleanup remains possible.
Disconnect safely
- Turn off workspace pickup to stop new checkouts. This does not cancel existing payment links. Disable assistant actions separately as needed.
- Review Recent pickup checkouts. Use Cancel unpaid checkout only when offered, confirm the request and verify the result. Paid orders and refunds must be managed in Square.
- After unresolved checkouts are handled, disconnect Square in Burki. If provider revocation is unconfirmed, Burki says so; remove Burki separately from Square’s connected apps. Existing Square orders and payments remain in Square.
Data and support
Burki reads merchant/location and catalog data for enabled actions. Optional pickup sends the confirmed order and pickup details to Square and keeps status receipts in Burki. Square hosts card entry; Burki’s checkout history does not show payment links or recipient details. Disconnection does not delete orders, payments or call history.
