Keep General and Hygiene Appointments Separate in Dental AI Scheduling

Define the boundary between supported general dental appointments and hygiene or specialist requests before enabling voice scheduling.

Dental AI scheduling appointment types need precise boundaries. To a caller, “a check-up,” “a cleaning” and “the appointment I usually have” may sound interchangeable. To a practice, they can require different staff, rooms, durations and preparation.

Burki's current Open Dental integration supports a selected primary dentist and non-hygiene operatory for general appointments. It does not establish automated hygiene scheduling or clinical procedure selection. The assistant should make that limit understandable without turning the call into a technical explanation.

Define the appointment in patient language

Write a short description of the supported appointment that practice staff approve. It should say who it is for and what the assistant can arrange, without suggesting a diagnosis or treatment decision.

Then list phrases that need clarification. If a caller asks for “my usual visit,” the assistant may need to ask whether they mean the supported general appointment or a different service. Do not assume that returning patients always want the same appointment type.

The Open Dental integration page states the current scope. Use that as a boundary when writing the conversation, not as permission to translate every dental request into one available slot.

A hypothetical cleaning request

Imagine an existing patient asking, “Can I book a cleaning next Tuesday?” The assistant has access only to the configured general appointment workflow.

A useful response explains that practice staff need to arrange the cleaning and offers the actual supported handoff. It should not say that a general slot is equivalent or book a different appointment without making the difference clear.

The same principle applies when a caller changes their request after hearing availability. If they begin with a general appointment but then ask for a hygiene visit, the earlier slot no longer answers the stated request. Reassess the scope before asking for confirmation.

Separate administrative eligibility from clinical judgment

The assistant can explain the appointment category it is configured to book. It should not decide which clinical treatment the caller requires. A successful patient match and an open calendar slot do not create clinical authority.

When the caller describes symptoms or asks which treatment to choose, follow the practice's approved process for those questions. Keep this separate from routine administrative booking. Do not use a broad “urgent” label as a shortcut around the appointment rules.

Make the handoff useful

A good out-of-scope handoff tells staff what the caller requested and why the assistant did not book it. “Patient requested a cleaning; staff scheduling required” is more useful than “AI could not help.”

If the business supports callback capture, collect only the details that process requires and describe it as a request. Do not promise a specific callback time unless the practice has approved that commitment.

Avoid collecting the entire booking intake when the requested appointment is already known to be outside scope. A brief explanation followed by the appropriate next step respects the caller's time and reduces unnecessary handling of patient information.

Test scope changes as carefully as successful bookings

Prepare fictional conversations for a supported general appointment, a cleaning request, an unclear “usual appointment” request and a caller changing categories midway through the call. Review whether the assistant chooses the correct path each time.

Browser practice uses simulated records and appointments. It can reveal misleading wording but does not verify actual practice scheduling. Authorized acceptance should also confirm that the selected dentist, operatory and duration are correct for the allowed workflow.

The dental use-case page is a useful starting point for the administrative role. Pair it with the practice's own appointment definitions rather than treating a general marketing description as a scheduling policy.

Before launch, ask the front desk to finish this sentence: “The assistant may book this appointment, and these requests come to us.” If the answer is clear enough to teach a new colleague, it is clear enough to become a reliable boundary for the assistant.
