Connect an AI Receptionist to HubSpot Around One Clear Workflow

An AI receptionist with HubSpot is useful when a conversation leaves the next person with an accurate record. Connecting the accounts is only the beginning. You also need to decide which caller details can change, what the assistant should write, and what staff should do when a record cannot be matched.

Start with one job: identify the caller by email, collect the reason for the enquiry, confirm any new details and save a factual note. That is a manageable first workflow for a small service business. It is also easier to inspect than a broad instruction to “manage our CRM.”

Map the conversation to supported actions

Burki's native HubSpot connection provides contact lookup, confirmed contact creation or updates, and call notes. Each assistant receives its own action permissions. The HubSpot integration overview describes that scope; it does not promise every HubSpot object or workflow.

Write the intended sequence on a single page. The opening establishes the caller's purpose. The assistant asks for an email address only when a contact record is needed. A lookup determines whether a record exists. New information is read back before a permitted update. Finally, the assistant records the request without claiming a colleague has already acted on it.

Contact data and conversation notes have different jobs. HubSpot documents contacts as records about individuals in its contacts API guide. Keep stable details in the appropriate fields and the caller's current request in the note.

A hypothetical enquiry from start to finish

Imagine a caller asking whether a cleaning company can discuss a weekly office service. The caller gives [email protected], says the office is moving next month and requests a conversation on Thursday afternoon. This is an illustrative example, not a customer result.

A reasonable assistant response is: “I have Alex at [email protected]. You would like to discuss weekly office cleaning after your move, and Thursday afternoon is your preferred callback time. Is that right?”

After confirmation, the saved note might say: “Caller requested a discussion about weekly office cleaning after an upcoming move. Prefers Thursday afternoon for a callback. No appointment or quote confirmed.” The note should not label Alex a qualified opportunity unless the business has a separate, supported qualification process.

If a contact already exists, preserve unrelated information. A caller mentioning a temporary project location does not necessarily mean the permanent contact address should change. Ask what the detail represents before replacing a field.

Decide what happens when the lookup fails

Give staff three distinguishable outcomes: matched, no match and unresolved. No match can lead to confirmed contact creation when the assistant has permission. An unresolved lookup needs review. Neither should quietly select the closest-looking person.

If the caller cannot provide email, offer the next step your business actually supports. That might be collecting a callback request for staff to review. Do not promise that a name-only search identified the right record when this workflow relies on exact email.

The assistant should describe an action only after its result is known. “I have saved your request” needs a successful action result. “I can take the details for review” describes an available next step without pretending the write already happened.

Check the record, not just the conversation

Use the HubSpot setup guide to connect the intended account and select the assistant's actions. Browser practice is simulated, so it can help review wording but cannot establish a real HubSpot write.

For an authorized live acceptance, inspect the matched contact, updated fields and note together. Include one corrected email, one existing contact and one unavailable-action case. Confirm that unrelated fields stayed intact and no duplicated note appeared after a retry.

Choose an owner for unresolved requests before turning this workflow over to callers. A carefully captured enquiry is valuable only if someone can find it and knows what to do next. Start by writing that owner's review checklist beside the three HubSpot actions you intend to enable.
